A high-profile family with homes in Los Angeles, Ojai, and San Francisco is seeking a highly skilled, detail-oriented, and proactive Executive Assistant to support a busy executive and their family. The ideal candidate thrives under pressure, manages multiple priorities seamlessly, and approaches every task with the utmost conscientiousness and discretion. This role requires extensive experience in executive-level support, travel coordination, and personal logistics.
Key Responsibilities:
1. Travel & Logistics Execution
Plan and execute complex multi-location travel.
Manage flights, drivers, pet logistics, and hotel arrangements.
Prepare comprehensive packing lists and ensure all critical items are accounted for.
Confirm airline and vendor policies in advance (e.g., pet travel).
Provide written confirmations for all bookings and vendor arrangements.
Ensure seamless travel experiences with zero last-minute surprises.
2. Calendar & Scheduling Management
Coordinate personal, medical, and professional appointments.
Confirm all appointments in advance and provide daily briefings as needed.
Proactively resolve scheduling conflicts.
Ensure all travel and meeting logistics align with calendar commitments.
3. Vendor & Service Coordination
Confirm vendor services directly; obtain written confirmations.
Follow up until completion and maintain an updated vendor database with backups.
Never report tasks as complete without verification.
4. Personal & Family Logistics
Manage gifting, important dates, and shipping needs.
Coordinate dog walkers, household staff, and service providers.
Track deadlines and ensure project completion.
Oversee short-term projects and personal/family initiatives.
5. Communication Standards
Close the loop on every task and confirm receipt of instructions.
Clarify ambiguity immediately and provide proactive status updates.
Prioritize accuracy over speed in all communications.

Qualifications:
Proven experience as an Executive Assistant or similar role supporting high-level executives and/or families.
Exceptional organizational and multitasking abilities.
Experience managing complex travel arrangements and personal logistics.
Strong written and verbal communication skills.
Ability to work independently and proactively anticipate needs.
